This policy explains how Birmingham City Mission collects and uses personal information through this website, including when you give a donation, sign up to our newsletter or contact us.

Who we are

We are the data controller for the information described in this policy. If you have any question about how we use your information, please contact us using the details above and your message will reach the person responsible for data protection.

What we collect and why

When you make a donation

We collect your name, email address, and the amount and date of your gift. If you choose to give under Gift Aid, we also collect your home address so that we can claim the tax relief.

We use this information to process your gift, to send you a receipt, to keep proper financial records, and to claim Gift Aid where you have told us we may. If you donate through our donation-preference form, we will email you about Birmingham City Mission’s charitable work and ways to support it, unless you opt out on the form. This is the charitable purposes soft opt-in and applies only where its requirements are met. You can unsubscribe at any time using the link in every marketing email or by contacting us. We do not treat a donation alone as consent, and we preserve existing unsubscribes and other marketing preferences.

When you sign up to our newsletter

We collect your name and email address so that we can send you news about our work. You can unsubscribe at any time using the link at the bottom of any email we send, or by contacting us.

When you contact us

If you send us a message through the website or by email, we keep your message and contact details so that we can reply and, where relevant, keep a record of what was agreed.

When you browse the site

Our website uses cookies and similar technology to keep the site working properly and to understand in general terms how visitors use it. This does not identify you personally. You can block or delete cookies through your browser settings.

Our lawful basis for using your information

• Consent for sending newsletters and other marketing messages where you have chosen to sign up. You can withdraw this at any time.
• Legal obligation for keeping financial records and for Gift Aid claims to HM Revenue and Customs.
• Legitimate interests for replying to your enquiries, administering your donation, the general running of the charity, and sending eligible donors emails that further our charitable purposes under the charitable purposes soft opt-in. You can object to donor marketing at collection and in every later message. We only rely on this where it does not override your own rights.

Who we share your information with

We do not sell your information and we do not share it for anyone else's marketing. We use trusted service providers who handle information on our behalf and only on our instructions.

• Mailchimp sends newsletters and donor updates
• Microsoft provides our email and document storage
• Webflow hosts this website and saves donation-form submissions
• Zapier connects donation preferences and Stripe payments with Mailchimp and stores preference, suppression and audit records

Where you have given a Gift Aid declaration, we share the necessary details with HM Revenue and Customs. We may also disclose information where the law requires it, or where there is a serious concern about someone's safety.

How long we keep it

We keep your information only for as long as we need it for the purpose it was given. Records of donations and Gift Aid declarations are kept for as long as HM Revenue and Customs requires. If you ask to be removed from our newsletter or donor updates, we act on that straight away. We keep the minimum preference and suppression records needed to honour your opt-out, together with a record of the donation-form notice and preference, and review these under our retention policy.

Your rights

Under data protection law you have the right to:

• ask for a copy of the information we hold about you
• ask us to correct anything that is wrong
• ask us to delete your information
• ask us to restrict or stop using it
• object to us using it, including for marketing
• withdraw your consent at any time

Complaints
